Managing Virtual Onboarding

Onboarding is the critical thing for both the company and the candidates. In this process, the company delivers its value and internalizes the company culture to the candidates. For the candidates, onboarding is the process of knowing deeply about the company that they can contribute to and knowing about their colleagues. Onboarding can be the tool for the company to reduce the turnover of employees and as the branding for the candidates.

Many of the companies are still on remote working or working from home mode now. Virtual meetings and virtual working are more common in 2020 and will still be in 2021.

Before this season came, HR commonly gathers candidates physically for the onboarding process, in which the candidates can familiarize with the office environment and meet with others to build connections. Nowadays, for the sake of physical distancing and compliance with the health protocols, HR has to handle virtual onboarding.

There are some tips on how to manage virtual onboarding:

1. Make The Candidates Feel Included
Scheduling the regular virtual meeting with a breakout room to build connection among the candidates and the colleagues. You can put 1-2 employees in each group to help to mentor them. Place them in the small group, to make them more open than in the big group.

2. Onboarding in Creative Way
Maximize your and the candidate's creativity while onboarding. You can make a few gamification that can be applied for remote onboarding. It can build connections and engagement among the candidates in a fun way.

3. Recognize Achievements
Announcing the achievement and award can help the HR identify the talented candidate. It can also bring up the competition among the candidates to show the best that they can do. HR can highlight and announce the candidates’ contributions at a weekly meeting.

4. Utilize The Technology
If you decide to make onboarding remotely, you should be ready with the technology and internet connectivity. Make sure the HR department and the candidates have good hardware and internet connectivity to do the virtual onboarding. It can give you and your candidates exercise to be more digital-savvy.

Doing these tips makes you have the energy and time to think strategically. On the other side of the onboarding process, HR has the manual tasks such as statutory registration (ex: BPJS in Indonesia), preparing the employment contract, and conducting brief sessions with the new hires regarding their contact & corporate regulations.
